Operations

The Operations section provides back-office tools for managing orders, tracking individual line items, handling fiscal compliance, and processing void approvals.

Orders

Search and manage all orders across any time frame.

Searching Orders

The Orders page provides flexible filtering:

Order List

Each order row displays:

Order Detail

Click the view icon on any order to see the full breakdown:

  • Header — Table number, waiter, cashier, and print status
  • Line items — Each item with quantity, unit price, and subtotal
  • Totals — Subtotal, tax, and grand total

From the detail view you can:

  • Reprint — Send the receipt to the printer again (useful if the original was lost or jammed)
  • Propose Void — Submit a cancellation request for manager approval

Reprinting Orders

Click the printer icon in the Actions column to reprint any order. The receipt reprints to the configured receipt printer with the original order details.

TIP

Reprints are logged — the system tracks who reprinted and when, for audit purposes.

Voiding Orders

Click the void icon (red circle) to propose a void:

  1. Select a reason (Customer Changed Order, Waiter Error, etc.)
  2. The void request appears in Pending Voids for manager approval
  3. Once approved, the order is marked as voided and appears in the Voids Report

Order Items

A flat, sequential list of every line item across all orders. Useful for granular item-level queries.

Each row shows:

TIP

Click the receipt number to jump directly to the parent order in the Orders view.

Fiscal Receipts

View all tax-authority-signed receipts and their submission status. Required for fiscal compliance with revenue authorities such as KRA (Kenya), URA (Uganda), and others.

Viewing a Fiscal Receipt

Click the view icon to see the full signed receipt content, including:

  • Business details (name, address, PIN)
  • Line items with VAT breakdown
  • Tax authority fields: SCU ID, SCU Invoice Number, digital signature
  • eTIMS verification URL

From the receipt viewer you can:

  • Copy — Copy the receipt text to clipboard
  • Download — Save as a document
  • Reprint — Send to the thermal printer

INFO

Fiscal receipts include a QR code / URL that links to the Kenya Revenue Authority's eTIMS verification page, allowing customers to verify the receipt is genuine.

Pending Voids

Review and approve void requests submitted by cashiers and waiters. This is the manager's approval queue.

Void Request Card

Each pending void shows:

Left side — Order details:

  • Order number with "Pending" status badge
  • Table number
  • Waiter name
  • Order amount
  • Date
  • Line items being voided

Right side — Void request:

  • Who requested the void
  • Reason for cancellation
  • When it was requested

Actions:

  • Approve (green) — Confirm the void. The order is cancelled, removed from revenue, and appears in the Voids Report
  • Reject (red) — Deny the void. The order remains active and billable
  • View — Open the full order detail

Quick Void

The Quick Void button (top-right) lets you quickly propose or process a void by entering a receipt ID. Useful for immediate corrections or when a cashier needs to void a recent receipt without navigating through the Orders page.

Two-Step Approval

The void approval workflow exists to prevent unauthorized cancellations. A waiter proposes a void, and a manager (or user with void approval permissions) approves or rejects it. This separation of duties is important for loss prevention.

After Approval

Once a void is approved:

  1. The order is marked as voided in the system
  2. It's excluded from sales totals and reports
  3. It appears in the Voids Report with full audit trail
  4. If fiscal compliance is enabled, a void notification may be sent to the tax authority
